We are looking for a well-organized and proactive professional to support the management team in daily administrative and operational activities. In this role, you will coordinate schedules, meetings, travel arrangements, and business documentation while ensuring smooth communication with internal and external stakeholders. You will also support project coordination, monitor deadlines, and help maintain efficient office processes in a dynamic international environment.
WHAT ARE YOU GOING TO DO?
- Support the management team with daily administrative and operational tasks.
- Coordinate projects, monitor progress, and track key deadlines to ensure timely delivery.
- Act as a point of contact between executives and internal/external stakeholders.
- Prepare reports, presentations, meeting materials, and other business documentation.
- Manage calendars, schedule meetings, and organize management agendas efficiently.
- Handle correspondence, emails, and communications on behalf of the management.
- Organize and manage travel arrangements, including itineraries, bookings, and travel expense reporting, ensuring cost-effectiveness and efficiency.
- Take detailed meeting minutes and follow up on action items to ensure completion.
- Assist in the communication, digitization, filing, and organization of office documents to ensure accessibility and security.
- Collaborate with cross-functional teams while also being able to work independently when required
WHAT DO YOU BRING?
- Proficiency in English with strong verbal and written communication skills.
- Strong organizational and multitasking abilities with excellent attention to detail.
- Ability to prioritize tasks, solve problems, and meet deadlines in a fast-paced environment.
- Advanced knowledge of Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
- Experience managing calendars, meetings, travel arrangements, and administrative processes.
- Ability to work independently as well as collaboratively within a team environment.
- Professional approach when dealing with internal and external stakeholders.
